A quotation is a price proposal sent before work starts, so a client can see the cost and approve it. An invoice is sent after the work is done, requesting payment. That's why this form uses "Prepared for" instead of "Bill to," and a validity period instead of a due date — nothing has been billed yet. Need to bill instead? Try the Invoice Generator.
Click "+ Add item" for each product or service — description, quantity, and rate. The amount for each line, and the quote total, update live as you type.
Enter a tax percentage in the Tax % field and it's applied to the subtotal automatically — the total shown on the page and in the PDF already includes it.
Use the Terms & Conditions field for anything that doesn't fit in a line item — what's included or excluded from the scope, payment terms if the quote is accepted, or how long the pricing is guaranteed.
The quote number is a plain text field, so you're free to use whatever system you already run — sequential (QUO-0001, QUO-0002...), by year (2026-Q001), or by client. It's not generated for you, so it stays consistent with your existing records.
The Date field defaults to today and Valid until defaults to 30 days out — both are plain date pickers, so adjust them to match how long you're actually willing to honor the price.
Type any currency symbol into the Currency symbol field — $, €, £, ₹, or anything else — and it's used throughout the quotation, on every line item and the total.
Once you press "Generate Quotation PDF," the file downloads straight to your device, named after your quote number — ready to email to a prospective client for approval.
